The Risks That Sink Websites (and How to Avoid Them): Data Loss

A blog, an e-commerce store, a photo gallery, a news portal, an internal knowledge base – every website serves a different purpose. 

Yet, no matter how unique they are, all websites share the same three core risks:

Data loss isn’t just an inconvenience – it can wipe out your entire business in a single moment.

Imagine losing your full customer database, years of content, or every file your website depends on. One unexpected failure, attack, or mistake, and everything you’ve built could disappear overnight.

And it can happen faster than you think:

  • An earthquake could damage the data center where your server lives;
  • Your server’s disk could suffer catastrophic failure;
  • A hacker could wipe your files clean in minutes.

Fortunately, there’s one simple, powerful defense: regular backups.

If you have a recent backup, you can recover from almost anything.

A Simple Backup Plan That Works

Here’s a simple plan that keeps you protected in nearly every scenario:

  • Follow the 3-2-1 Rule
    Keep 3 copies of your data, on 2 different storage types, with 1 copy stored off-site (ideally immutable). Example: 1 backup from your hosting provider, 1 local copy on your computer, and 1 stored securely in the cloud. This way, no matter what happens, you’ll always have a backup ready.
  • Diversify Backup Methods
    Don’t rely on just one system. Use both your host’s full-account backups and your own manual file/database backups.If one fails or gets corrupted, the other saves you.
  • Backup Before Making Changes
    Always take a snapshot before upgrades, migrations, or plugin updates. These moments are the riskiest – one wrong click could take your site down.A quick pre‑change snapshot lets you roll back instantly.
  • Do Regular Restore Drills
    Practice restoring backups in a test or staging environment every few months. This helps you:
  • Check that backups actually work;
  • Confirm they’re recent;
  • Time how long a full restore takes.

Database-Consistent Backups

Most websites rely on databases to store critical information – content, user data, transactions, and more.

That makes your database a prime target for both errors and attacks. 

A reliable, consistent database backup ensures you can restore everything without losing or corrupting data.

A consistent backup captures your database at a valid point in time, so when restored, you don’t end up with half-written or missing records.

Below are simple methods for achieving this with the most common databases.

MySQL Backups

MySQL supports two major storage engines: InnoDB and MyISAM.

Each has its quirks, so the backup process differs slightly.

InnoDB

The following command generates a backup without locking the database, allowing ongoing transactions to continue – one of InnoDB’s biggest strengths.

mysqldump --single-transaction --routines --triggers --events --quick your_database \
  | gzip > /backups/mysql/your_database-$(date +%F).sql.gz
# For very large DBs, preferxtrabackup (physical, non-blocking)

For very large databases, consider using xtrabackup, which performs physical, non-blocking backups for faster results.

MyISAM

mysqldump --lock-tables --routines --triggers --events --quick your_database \ | gzip > /backups/mysql/your_database-$(date +%F).sql.gz

With MyISAM, the database must lock during backup due to its design.

This can cause short downtime, so plan backups for low-traffic periods.

PostgreSQL Backups

If your PostgreSQL (PgSQL) database is relatively small, you can create a single-file backup like this:

PGPASSWORD="your_database_password" PGDATABASE="your_database" pg_dump -h your_pgsql_hostname -U $PGDATABASE -f /home/$PGDATABASE-$(date +%F).dump $PGDATABASE

This won’t block active writes, so it’s great for backing up scripts / apps that are currently in use.

For larger PostgreSQL databases, or if you want to include write-ahead logs (WAL) for point-in-time recovery, use:

pg_basebackup -D /backups/pg/base-$(date +%F) -Fp -Xs -P -U repl_user

File Backups

Your website files – code, images, configurations – are just as important as your databases.

Creating local file backups can be quick and easy:

  • Log in to your File Manager;
  • Select all files;
  • Click “Compress”, then download the archive.

Now you have a local copy of everything.

But if you want reliability, automation is key.

Automated Local Backups

Here’s a simple script you can automate with a cron job to create daily backups for 7 days, before overwriting the oldest:

Add it to your crontab to run during low-traffic hours (e.g., 3 AM).

It’s ideal for small to medium sites. 

NOTE:Just remember to check how much disk space a week’s worth of backups will use.

Off-Site, Immutable, Encrypted Backups

Local backups are great – until you lose access to the server.

That’s why off-site backups are essential.

The classic tool for this is rsync, available on most hosting platforms. It will track changes between files and will backup only what is changed instead of creating a full backup every time

Here’s a sample script to back up your files to a Hetzner Storage Box:

Practice Backup Restores

Creating backups is 90% of the job – but practicing restores is the crucial 10% most people ignore.

You don’t need to do it weekly; once every few months is enough.

Testing restores helps ensure your backups are actually working and that you know the process inside-out when disaster strikes.

Important: Never test restores on your live site. Use a staging or test environment.
